The Challenge
When we launched FiveTwoSolutions, we made a deliberate decision: build our own operations on the same automation stack we'd sell to clients.
This wasn't just a business strategy — it was a credibility requirement. How can you sell workflow automation if your own business runs on spreadsheets and manual follow-ups?
The challenge was real: as a startup, we needed to handle sales outreach, lead management, client onboarding, project delivery, content creation, and customer success — all with a lean team. Every manual process we tolerated was a process we couldn't scale.
The Solution
We built the Claudinator platform — an AI-powered business operating system that orchestrates six business divisions through automated workflows and AI agents.
CRM and Lead Management: Every inbound lead triggers an automated pipeline — CRM entry, lead scoring, follow-up sequences, and meeting scheduling happen without manual intervention. Zoho CRM serves as the source of truth, connected to our email, calendar, and communication tools.
AI-Powered Sales Outreach: Research agents gather prospect intelligence, draft personalized outreach, and queue communications for review. What used to take 45 minutes per prospect now takes 5 minutes of review time.
Automated Project Delivery: When a client signs, the onboarding workflow auto-creates project spaces, schedules kickoff calls, sends welcome materials, and assigns task sequences. The delivery team focuses on building, not on administrative setup.
Content Pipeline: Blog posts, case studies, and marketing materials flow through an automated research-to-draft-to-review pipeline. AI agents handle first drafts; humans handle strategy and approval.
Knowledge Management: Every client interaction, project outcome, and learned insight gets captured in a searchable knowledge base powered by Qdrant vector search. The system gets smarter with every engagement.
The entire stack runs on Docker containers on a Mac Mini — PostgreSQL for data, n8n for workflow orchestration, Qdrant for knowledge search, and Langfuse for AI monitoring.
The Results
